That you decide where your digital workplace runs and who can reach the data. The hardware and the client data are yours: on a server at your office, or on an EU server that runs only for your organisation. We build and manage the platform, as your external IT department. You can always leave with your data.

You choose between two variants. On your own server at your office: then workplace data stays in the building. Or on an EU server that runs exclusively for your organisation: then that data stays within the European Union, under European law. In both cases you do not share the environment with other clients. Outbound mail, DNS and similar internet services remain ordinary internet services. Many firms start on the EU server and move to their own hardware later; that works without losing anything.

Both, as two equal parts. The sovereign workplace is email, documents, access, backups and management. AI and automation is about time now spent on requests, documents, quotes, customer questions or repeat work between systems. You can take one without the other. What we automate always starts with the process, not the technology.

We handle the workplace migration. First we map your current situation: which files, mailboxes, calendars and accounts exist. Then we set up the new environment and move everything in phases, so your team can keep working. We plan the transition for a quiet moment, test beforehand, and only go live once it works. Switching from an existing cloud environment or your own server is everyday work for us.

If you run on your own hardware, you retain the physical storage. If you run on an EU server, we discuss export of email, files, calendars and passwords and the handover to another administrator. The arrangements for deletion and any statutory retention periods form part of that handover. Because the workplace uses open software, an experienced administrator can take it over.

With a large cloud vendor, continuation depends on its terms; with us we make the handover arrangements clear in advance.

For the workplace AI assistant, from the Smart package: it runs in a shielded environment on our hardware in the European Union, in a private environment in a European data centre, or on a device at your office. Nothing is trained on your data. For automation projects we look per process at which data is needed. Where we can, that stays in your own environment. Where an external model is needed, we agree up front what goes there and what does not.

For the workplace often not, once you add up licences, management, backup and an AI subscription per employee. You pay us a fixed monthly amount plus the server (your own hardware or an EU server). Worked examples are on Pricing and in the cost comparison. Automating a process has no fixed amount per user: first an analysis, then a bounded trial, and only then the rest.

We manage the workplace and carry out updates. Monitoring, backup, recovery and support arrangements are recorded for each environment. The monthly allowance for questions and small changes is on Pricing.

The workplace sits behind encryption, two-factor authentication and a secured connection with a single central login. Access is logged. Privacy is the starting point of the setup, not an extra module you have to switch on. What we do not promise: that no data ever touches an external service. Mail delivery, DNS and similar internet services are part of any workplace.
