Pricing

You do not need to know or choose anything up front; this is how it goes:

• Introduction: a half-hour conversation, free and without obligation. Together we look at what your office needs.
• Proposal: you receive a quote with one fixed monthly amount and the one-off setup. No surprises afterwards.
• Setup: we build your environment and move your email and files, usually within a week, tested before you switch.
• In use: your team logs in and simply keeps working. We manage the workplace; monitoring, backup and recovery are agreed for each environment.

The AI assistant (from Smart) runs on a powerful computer dedicated to AI. You choose where:

• Ride along: your AI runs shielded on our own hardware in the European Union, separated per client. Most affordable, and included in Smart.
• Cloud by the hour: your own private AI environment in a European data centre, billed only during office hours. About 195 euro per month.
• Your own AI device: a machine at your office, your data never leaves the building. From 2,250 euro one-off plus 95 euro per month for management.

Most offices start with ride-along; it is included and you notice nothing except that it works. Which fits, we decide together at the introduction. Heavy work such as image generation needs heavier AI hardware and is bespoke. The AI assistant helps with summarising, email and searching your documents, always with you in control.

The rates above apply to the sovereign digital workplace. For automation projects we deliberately do not use a fixed monthly amount per user. The price depends on your processes, your systems, the volumes and how deep the integration needs to go, and that cannot fairly be captured in a table up front.

Instead we work in three steps. First an analysis of your processes, with the outcome of where automation delivers a return and where it does not. Then a bounded pilot on real cases from your own practice. And only once the value is proven, the implementation and scale-up. Each step has its own price and its own decision point, so nothing commits you on the basis of an estimate made up front.

Common cloud services charge per user, per month, forever. The bigger your team, the more you pay, without ever holding anything in your hands. We turn that around: you invest once in your own environment and pay us a fixed amount to manage it. Over several years that is often cheaper, and you keep your data and hardware. The one-off setup covers the configuration and the migration of your existing data to the new environment. Choose a one-year term and we charge half the setup; on a two-year term the setup is waived entirely. And you are never technically locked in: your data and keys stay yours, and you can take them with you at any time. If you stop earlier than agreed, we only charge back the waived part of the setup, in proportion to the remaining term.

We support you in three ways, clearly separated:

• Onboarding: we set everything up and guide you until it fully works. Fully included, with no hourly clock.
• Incidents: if something breaks, we investigate and handle the report under the support arrangements agreed for your environment.
• Help and questions: a monthly allowance for explanations, small changes and advice. Start and Smart 1 hour per month, Complete 2 hours, Custom tailored. Beyond that € 100 per hour.
